Report Type overview
Brightflag's report builder has an array of reports you can build and customize. Once begin building a report, you will set first select the Report Type. This guide explains the difference in the report types and you can also see a summary of each type before selecting the in the UI:

Matter Spend:
Gives an in-depth breakdown of spending and analytics at a matter level. Date filtering is based on invoice dates within that matter. If you set a date range for the year 2020, only matters that have spend (invoices) in that date range will appear.
All Matters:
Provides insights on high-level spend and analytics at a matter level. Date filtering is based on matter creation dates. If you set a date range for the year 2020, only matters that were created in that date range will appear.
Invoice:
Returns a breakdown of all information related to invoices. Date filtering is based on invoice date. Click the Show Flags button to see a granular breakout of savings identified.
Timekeeper:
Gives a breakdown of all timekeeper data as per the invoices they appear on, such as their rate and hours worked. Export this report to calculate a vendor's blended rate. Date filtering is based on the invoices that these timekeepers appear on.
Accrual:
Accrual entries as entered by your vendors are merged with invoice spend information. Accruals reports are based on monthly cadences so always set a date range by full calendar months.
Line Item:
This report will pull up information on each individual narrative line item. Use this report for granular reviews of things like narrative descriptions and hours worked. It is recommended you set short date ranges as the dataset may be large. Date filtering is based on invoice dates. of invoices during the selected date range.
How to Build a report
The Brightflag Report Builder allows you to create custom reports to suit your needs. This can be used to generate specific insights or high-level summaries.
All Brightflag users in your company will have access to the report builder, however, the data you see will vary depending on your access level, the matters and invoices that you are assigned to, and the sharing setting of the report itself.
To build a report:

Navigate to Menu > Reports > Report Builder

Click the Create Report button located in the upper right part of the page.

Select what you want to report on from the Choose Report Template by clicking the +New button. The report template determines what fields will be available for the report:

Select the required report fields, filters and adjust the relevant options (allowing for sorting and grouping), depending on what you are reporting on and how you want the report to look like. You can use the dropdown menu next to each field and filter groups for a more granular selection.
- Once all required fields, filters, and options are set, you can either RUN the report or save the template for later use by clicking the DONE button.

- clicking on the Done button, allows you to name the report and adjust the privacy setting, making it either available only to the creator, or all users within a certain domain. Please note that Report templates shared publicly contain report parameters, not data, meaning that others can use public templates to run a new report but with different data. Press Done again once finished to confirm the changes and save the report template.

- clicking the Run Report button, lets you run the report instantly, after selecting the date range, report currency, and the output method - either displaying the report in the browser or allowing you to distribute it to other users as a downloadable file by entering their email address using a custom, CSV or Excel format.

- If you do not select a currency, your company's default currency will be chosen.
- If the currency on your report differs from the original invoice currency, the spend will be converted using the mean FX rate (foreign exchange rate) as per the invoice date (FX rates are updated daily in Brightflag through the European Central Bank

- 6. Click Run Report once all fields are filled out, making sure you confirm all entered email addresses by pressing enter, when choosing the Send by Email method.
- 7. When choosing View on Screen as the output method, the report will be displayed within the Brightflag platform directly, allowing you to Edit and Download it from within.
- To view your saved reports at a later date, simply enter the report builder again, click on the 3 dots next to any existing report and select from the run, copy or schedule actions, the last of which can be done using the following guide: Scheduling a Report
Making a Report Public
If you have built a report that your colleagues may find useful, you can make the report public to all of your colleagues. This negates the need to share the report with specific users. Note: A report can be made public on creation or after.
To make a report public ( For existing report):

Navigate to Menu > Reports > Report Builder

Filter for your report using the options and search
- On the right of the report you want you to make it public just toggle the setting on:

- The report is now public for other users to run.
To make a report public ( New report)
When you have configured your report using Build a Report Guide.
1. Click DONE button. A pop up will appear with the option to save and the public toggle:
Making a report public means that all users will be able to access a read-only copy of the report. Those who have access can create their own version of the report by making changes and saving the report under a new name.
Sharing a report or making a report public only allows your colleagues to see the report name, parameters, and filters. The data that populates in the report will vary depending on their access level.
The Run Report Option Does Not Work

When building or creating a report and the run report option does not work or is greyed out, this is due to filters that need to be completed.
In the example below, one filter remains in an un-populated, State/Province, which is preventing the Run Report function to work.

Once all filters are populated and completed, the Run Report option will now work.

Making a Report Public
If you have built a report that your colleagues may find useful, you can share your report with them within Brightflag. If you would rather not make the report public to all of your colleagues, you can share it with individuals in your company.
