Deactivating Vendors

Admins can mark a vendor as Inactive to stop it from being used in new matter creation, without removing the vendor's access to the platform.

What deactivation does

  • Excludes the vendor from single and bulk matter creation

  • Shows a Deactivated badge on the vendor's profile and in the vendor directory

  • The badge is also shown on invoices tabs on the home page, the invoices list page, and the single invoice detail page

  • Hides the vendor from the Vendor Management list by default

  • Logs the change in the audit trail (who made the change, when, and the old and new status)

What deactivation does not do

Deactivating a vendor does not revoke their access to the instance.

  • The vendor can still log in

  • The vendor can still submit invoices

  • The vendor can still submit accruals

  • Invoicing works normally — deactivation doesn't block anything on the invoice side

Note: Use deactivation to stop a vendor being assigned new work, not to offboard them from the platform.

How to deactivate a vendor

  1. Go to the vendor's profile

  2. Toggle the status from Active to Inactive

  3. Confirm in the modal that appears

The vendor's status updates immediately and the change is recorded in the audit log.

To reactivate a vendor, repeat the steps and toggle the status back to Active.

Bulk matter upload

If a matter upload file includes a deactivated vendor, that row is skipped. The system tells you which vendors were skipped so you can correct the file if needed.

Finding deactivated vendors

By default, the Vendor Management list only shows active vendors. To see deactivated vendors as well, use the Show deactivated vendors toggle at the top of the list.

The following is planned for a future release:

  • Active/Deactivated columns and filters in Report Builder templates

  • A warning when deactivating a vendor that has an active matter or RFP

  • Deactivated badges on the dashboard, matters page, AP export, timekeepers, and role rates pages

  • Blocking a deactivated vendor's timekeepers from diversity surveys
