Organizing matter documents with folders (AMM)

Summary: The Documents tab on a matter replaces Emails & Files. Customers with Advanced Matter Management (AMM) can create folders and subfolders to organize matter documents.

Understanding the folders in the Documents tab

When you open the Documents tab on a matter, you’ll see a list of folders in the left-hand panel. Here’s what each one shows:

  • Home: Every file and folder on the matter, whether it was added by a customer user or a law firm user.

  • RFPs: Any document uploaded as part of an RFP. This folder only appears if you use Advanced Vendor Management. The number next to it is how many documents it contains.

  • Tasks: Any document uploaded to a task on the matter. The number next to it is how many documents it contains.

  • To Be Filed: All documents on the matter that aren’t in a folder yet. See “What is To Be Filed?” below.

  • Your folders: Folders created by users appear below the divider in the left-hand panel.

What is To Be Filed?

To Be Filed shows all documents on a matter that aren’t in a folder yet. Think of it as an inbox: documents arrive here, and you move them into your folders to keep the matter organized.

To Be Filed is available to Advanced Matter Management (AMM) customers only.

How documents arrive in To Be Filed

  • Migrated files: From 15 October, all files from the old Emails & Files section appear here.

  • Synced emails: Emails and attachments synced from the Brightflag Outlook or Gmail Add-in appear here.

  • Uploads without a folder: Documents uploaded without choosing a folder appear here.

How do I file my documents?

Move documents from To Be Filed into your folders, for example, Correspondence or Contracts. Filed documents no longer appear in To Be Filed. When all documents are filed, To Be Filed is empty.

Good to know

  • You can’t move documents into To Be Filed. It only shows documents that haven’t been filed yet.

  • Deleting a folder deletes its documents. They don’t go back to To Be Filed, so move any documents you want to keep before deleting a folder.

Who can use folders?

Folders are available to customers with Advanced Matter Management (AMM). If your account doesn’t include AMM, you’ll still see the Documents tab, but without folders.

What can I do with folders?

In the Documents tab, you can:

  • Create folders and subfolders

  • Rename folders

  • Move folders

  • Delete folders

  • Add files to folders

Upcoming features

  • Folder-level permissions

  • Folder templates or predefined structures
