Configuring Auto Invoice Processing Rules - Awaiting Details

Within your company, there may be certain key data points needed on an invoice or matter for an invoice to be payable. If these data points lay outside of Brightflag’s standard mandatory invoice requirements, you can still enforce their input through Brightflag’s customizable Awaiting Details functionality.

How It Works

  1. Invoice Submission and Checks

    • When an invoice is submitted and passes your company’s chosen data checks, it proceeds to Accounts Payable (AP) as usual.
    • If the invoice fails these checks, you will be alerted when the final approval stage is attempted.
  2. Awaiting Details Status

    • The invoice status will update to Awaiting Details once the issue is identified.
    • Beside the status, details of the missing or incorrect information will be displayed.
  3. Resolution

    • The invoice cannot be paid until the issue is resolved.
    • Once the relevant values are entered, the invoice is automatically released from the Awaiting Details status and proceeds to AP.
  4. Proactive Notifications

    • Admins receive daily email reminders listing invoices with unresolved issues, allowing for proactive management of problem invoices.

Fields Configurable for Awaiting Details

The following fields can be configured to trigger the Awaiting Details status:

  • Vendor Ref is not empty
  • Vendor Ref contains letters
  • Invoice Amount must be valid
  • Invoice Currency label valid
  • Receipt Number is not empty
  • Invoice PO is required
  • Invoice/Matter Allocation not set

Why LEDES Submissions Are Preferred

To avoid common issues that lead to Awaiting Details status, Brightflag recommends prioritizing LEDES submissions over PDFs.

  • Fewer Rejections: LEDES files are structured, reducing errors and ensuring data integrity.
  • Seamless Integration: Brightflag's EBH integration fully supports and simplifies the upload of LEDES files, enhancing the overall experience for law firm users.
