The Outlook Sidebar integration for Brightflag Workspace enables the user to bring their emails and files into the workroom, directly from the Outlook web app or desktop app.
You can choose to add these files to the “Files” tab in any workroom or as a task to your enterprise’s intake workroom.
Workspace Configuration:
Follow these instructions to download and install the Outlook integration:
- Sign in to the Brightflag Workspace app
- Click the settings icon near the bottom of the navigation sidebar
- Click on the “Connections” tab
- Click the Outlook button to download the Outlook XML file
- In Outlook, selecting an email displays the menu on the right side. Click the Add-Ins icon in this menu and choose “Get add-ins”
- Select “My add-ins” in the left sidebar and scroll to the bottom. Choose “Add a custom add-in” and use the downloaded XML file
NOTE: If you will not be using the Outlook sidebar for submitting Legal Service Requests, then you may skip ahead to the How To section.
In order to use the Legal Service Requests from Outlook, you will need to create a Legal Intake workroom.
- Go to the Workrooms tab (homepage)
- Click on the New Workroom button
- On the Select Template tab, you can search for and select the Legal Team Intake and Ticketing template, and finish creating the workroom.
NOTE: It is generally not recommended to make this a Related Workroom. If the “Connect Records” tab is visible, choose not to connect records
You will now be able to send requests from Outlook directly into this workroom.
How To:
To use the Outlook App, start by opening any email. Click the Add-ins icon to select the “Send to Joinder” app. This will be renamed to Brightflag Workspace in the future.
Before you can send anything into Workspace, you will first need to sign in. Click Sign In to initiate the login process. Sign in using your organization’s SSO, or your Workspace email and password.
After signing in, there are 2 options to choose from:
You can use this option to send your email and files into the workroom as a task. This allows for a simple workflow for getting legal work to your team.
Create Legal Project Request
- The checkboxes at the top determine which files will be sent into the workroom, with the email itself being the top selection. These will be checked by default.
- When you have filled in the details for your request, click the “Submit” button.
- When the upload has completed, you will see a “View” button. Clicking this takes you to your enterprise’s intake workroom.
- The intake workroom receives a task with the details of the form and its files and email attached.
- In the intake workroom only, the “Create new Workroom from Task” menu action is visible in the task’s header as a workroom icon. This creates a new workroom with a copy of this task inside, and links going between it and the intake workroom. This enables quick navigation between matters and the intake workroom.
Add to Records
Use this option to get your email and files into a workroom’s file storage. This arrives in the “Files” tab in the selected workroom.
- The checkboxes at the top determine which files will be sent into the workroom, with the email itself being the top selection. These will be checked by default.
- Use the field to search for the desired workroom, and click the Upload button.
- When the upload has completed, you will see the “View” button. Clicking this takes you to your enterprise’s intake workroom.
- You will arrive at the “To Be Filed” folder in the workroom’s “Files” tab. Here you can immediately preview your uploaded documents, and move them to the desired folders.
