This article answers common questions about the timekeeper rate submission process for vendors.

Can I Add Timekeeper Rates on My Own?

No. Vendors must submit timekeeper rates themselves for client approval. Clients cannot submit rates on behalf of a vendor.

Can an Invoice Be Submitted Without Approved Timekeeper Rates?

Yes, but this is not best practice. Invoices submitted without approved rates may be flagged or rejected depending on the client's configuration.

What Happens If a Timekeeper Rate Is Pending When an Invoice Is Submitted?

If an invoice includes a timekeeper with a pending rate, Brightflag will flag it as:

  • New Timekeeper — for first-time submissions

  • Timekeeper Rate Increase — if an updated rate has been submitted but not yet approved

The flag remains even if the rate is approved before the invoice is approved. Future invoices will not be flagged if the approved rate matches the invoice rate.
