Matter Tasks Explained

Matter Tasks is a feature within Brightflag’s Advanced Matter Management Module, designed to help you create, assign, and track tasks associated with legal matters. It brings structure, accountability, and collaboration to your legal workflows.

📂 Accessing Tasks

Tasks Tab (Inside a Matter)

  • View task details: Title, Assignee(s), Due Date, Status

  • Create and manage tasks

  • Download/export all tasks for the matter

Upcoming Tasks Section

  • Found in the Matter Summary tab

  • Highlights tasks with upcoming due dates


✍️ Creating & Managing Tasks

Assigning Tasks

  • Assign to any customer user

  • Automatically adds assignees as matter participants

  • Removing a user from the matter unassigns all their tasks

Tip
Assign tasks carefully. Unassigned tasks may go unnoticed.

Task Details Include:

  • Title

  • Description

  • Due Date

  • Assignee(s)

  • Status Options:

    • Not Started

    • Pending

    • Complete (cannot be reverted)

✅ Only task owners, participants, or admin users can update status.


💬 Collaborating with Task Comments

  • Support for collaborative discussions

  • Visible only if the matter is open and the user has edit rights

  • Otherwise, shows a read-only comment panel

  • Comments cannot be edited or deleted

  • No notifications are sent for new comments


📎 Managing Attachments

  • Files attached to a task appear under Emails & Files tab

  • Labeled clearly as Task Attachment

  • Real-time updates for add/remove actions

  • Previews, downloads, and access depend on user permissions


✉️ Email Notifications

Task Assignment Emails (If enabled in Admin Settings)

  • Sent to task owner and participants

  • Includes: Task name, due date, owner, and matter info

  • Triggered on task creation or adding a user to a task

  • Disabled users do not receive emails

Task Reminder Emails (If “Task Reminder” Toggle is ON)

  • Sent 30 days, 7 days, 1 day, and daily at 9 AM before due date

  • Reminders stop once:

    • Task is marked Complete

    • Matter is Closed

    • User is Disabled


🛠️ Editing Tasks

  • Tasks can only be edited if the matter is open

  • Users without edit permissions cannot:

    • Modify tasks

    • Use the editable comment field


📤 Exporting Tasks

From Matter View

  • Export button visible to users with VIEW_MATTERS permission

  • Disabled if there are no tasks

From Dashboards

  • Export tasks from dashboard view

  • Columns sortable (except Owner and Has Attachment)

  • Default sorting: Due Date


📊 Dashboard Integration

Legal Ops Dashboard

  • Shows tasks from all matters

  • Visible to Admin Users

Attorney Dashboard

  • Shows only tasks assigned to the user

  • Users can:

    • Add new tasks (must select a matter)

    • Mark tasks complete if:

      • They're a participant or have UPDATE_ALL_MATTER_TASK privilege

      • Task isn’t already complete (applies even for closed matters)


🕵️‍♂️ Activity Logging

All task-related activities—such as creation, edits, and status updates—are automatically logged in the Matter Activity Log for transparency and tracking.

Question Answer
Can tasks be deleted? No, tasks cannot be deleted once created.
What happens if a task assignee is removed from a matter? They are unassigned from all tasks. You’ll need to reassign them.
Are there notifications for new comments? No, comments do not trigger notifications.
Can I edit or delete task comments? No, comments are final once posted.
Who can update task status? Only the task owner, participants, or admin users.
Are users notified when added to a task (if not yet participants)? Yes, if task notifications are enabled, users will be notified and automatically added as participants.
