Matter Tasks - Advanced Matter Management

Matter Tasks is a feature within Brightflag’s Advanced Matter Management Module, designed to help you create, assign, and track tasks associated with legal matters. It brings structure, accountability, and collaboration to your legal workflows.

Where to Find Matter Tasks

  1.    Menu > Home > Tasks

  2.    Matter Management > Search Add Matters > Open Relevant Matter > Tasks Tab
  3.    Matter Management > Search Add Matters > Open Relevant Matter > Summary Tab


To view details of a specific task, click on the task name at any of these locations: 


Creating a Task

You can add a task by clicking ADD TASK at: 

  • Menu > Home > Tasks > ADD TASK 

  • Matter Management > Search Add Matters > Open Relevant Matter > Tasks Tab > ADD TASK 

Each task includes:

  • Matter

  • Title

  • Owner 

  • Description

  • Due Date

  • Priority 

  • Status 

  • Participants 

Task Assignment Rules

  • Tasks can be assigned to any customer user

  • If not already a participant → they are automatically added

  • Removing a participant → un-assigns them from all tasks

⚠️ Reassign tasks before removing users to avoid gaps.


Managing Tasks

Comments

  • Used for task discussion

  • Visible only if matter is open and user has edit rights

  • Otherwise read-only

Limitations:

  • ❌ Cannot edit comments

  • ❌ Cannot delete comments

  • ❌ No notifications for new comments

Attachments

When attaching a file to a task:

  • File appears in Emails & Files tab

  • Labeled as Task Attachment

  • Access respects user permissions

  • Updates appear in real time

Edits 

Action Who Can Do It
Update Status Task owner, participants, Admin users
Edit Task Users with edit permission (matter must be open)
Mark Complete on Closed Matter Participant or user with UPDATE_ALL_MATTER_TASK privilege
Delete Task ❌ Not supported

Exports 

From Matter View

  • Available to users with VIEW_MATTERS privilege

  • Disabled if no tasks exist

From Dashboard

  • Export visible task list

  • Default sort: Due Date

  • Columns sortable (except Owner and Has Attachment)


Email Notifications

Assignment Emails

(Sent if enabled in Admin Settings > Configuration > Task Notifications)

Triggered when:

  • Task is created

  • User is added to a task

Includes:

  • Task name

  • Due date

  • Matter details

Disabled users do not receive emails.

Reminder Emails

(Sent if enabled in Admin Settings > Configuration > Task Notifications)

Sent:

  • 30 days before due date

  • 7 days before

  • 1 day before

  • Daily at 9 AM until complete

Reminders stop when:

  • Task is marked complete

  • Matter is closed

  • User is disabled
