User Roles & Permissions for Brightflag Client Users

This article explains the user roles and permissions available to Brightflag Customers (Clients). Your assigned role determines your level of access and available actions within Brightflag.

Client User Roles in Brightflag

There are four standard user roles for clients in Brightflag:

  1. Ordinary User
  2. Department Overview User
  3. Overview User
  4. Admin User

Role Descriptions & Permissions

1️⃣ Ordinary User

An Ordinary User has the most limited access, focusing only on assigned matters and invoices.

Feature Access
Matters Access to matters where the user is a participant or internal matter lead.
Invoices View invoices for assigned matters or those where the user is part of the invoice approval workflow.
PO (Purchase Orders) Link and edit existing POs for assigned matters.
Reports Can only view reports containing data for assigned matters and invoices.

2️⃣ Department Overview User

A Department Overview User has access to all matters and invoices within their assigned department(s).

Feature Access
Invoices Can view all invoices for matters within assigned departments.
Matters Can view all matters in assigned departments.
Spend Overview Dashboard Can access data for assigned departments.
PO (Purchase Orders) Link and edit existing POs for matters in assigned departments.
Reports

Can view reports containing data for assigned departments only.

3️⃣ Overview User

An Overview User has full access to all matters and invoices but cannot manage admin settings.

Feature Access
Spend Overview Dashboard Full access to all departments and matters.
Matters Can view all matters across all departments.
Invoices Can view all invoices across all departments.
PO (Purchase Orders) Link and edit existing POs for all matters.
Reports Can access out-of-box reports and use Report Builder to view all available data.

4️⃣ Admin User

An Admin User has full access to all data and can manage system configurations.

Feature Access
Spend Overview Dashboard Full access to all departments and matters.
Matters Can view all matters across all departments.
Invoices Can view all invoices across all departments.
PO (Purchase Orders) Create and edit all POs.
Reports Can access out-of-box reports and use Report Builder for full data access.
Matter & Vendor Management Manage Matter Requests, Cost Center Budgets, Vendor Management, and Timekeeper Rates.
AP & Finance Manage AP Export and Accruals.
Admin Settings Configure User Management, Invoice Workflows, and Auto-Invoice Processing.

 


Custom Roles

Brightflag allows custom user roles (if enabled for your organization). If your assigned role doesn’t match the ones listed above, contact your company’s Brightflag Admin for clarification or adjustments.


Requesting a Role Change

⚠️ Important:
Brightflag Support cannot change user roles without explicit approval from your Admin(s).
