Approving an Invoice in Brightflag

1️⃣ Locate the Invoice

You can find the invoice you need to approve in one of two ways:

  • Via Invoice Management:

    • Navigate to Menu > Invoices and locate the invoice.
    • Click on the Invoice Number to open the Invoice Analysis page.
  • Via Dashboard:

    • Navigate to Menu > Dashboard.
    • Under the Invoices to Review tab, find the invoice awaiting your review.
    • Click on the Invoice Number to open the Invoice Analysis page.

2️⃣ Approve the Invoice

  • Click the Approve button in the top-right corner of the screen.

  • If your company has configured invoices to prevent adjustments before approval, and you have made an adjustment, you will see an error message at the bottom left of your screen. 
    • In this case, the Approve button will be greyed out after attempting to approve.
    • To proceed, either:
      • Remove the adjustment and approve the invoice.
      • Reject the invoice and send it back to the law firm for resubmission with the adjustment.
  • If the Approve button is not visible, it means the invoice is not yet at your review stage.

3️⃣ Add Internal Comments (Optional)

  • If you are able to approve the invoice, an approval window will appear.
  • You can add an internal comment for reference—this will be saved in the invoice's comment section after approval.

4️⃣ Notify the Vendor (Final Approver Only)

  • If you are the final approver, you may have the option to notify the vendor of approval.
  • Ensure the Notify Vendor box is populated with the vendor’s email (usually pre-filled with the invoice uploader’s email).
  • If this option does not appear, it means the notification setting has not been enabled by your admin.

5️⃣ Confirm Approval

  • Click Approve to complete the approval process.
  • If you have multiple invoices to review, click Approve and Next Invoice to automatically move to the next pending invoice.
