How to Review an Invoice in Brightflag

If this is your first time reviewing an invoice in Brightflag, this guide walks you through what to look at — step by step.

You do not need to review everything at once. Start at the top and work your way down.

Step 1: Find the Invoice

First, locate the invoice you need to review.

Once opened, you will land on the Invoice Review screen.


How to Navigate the Invoice Review Screen

The screen can be understood in four simple areas:

  1. Top-Left: Invoice & Matter Details

  2. Center: Invoice Line Item Breakdown 

  3. Left Panel: Insights & Flags

  4. Top-Right: Totals & Actions


1️⃣ Start Here: Top-Left Invoice Details

This section tells you what you’re reviewing.

Check: 

  • Matter name (Is this the correct matter?)

  • Vendor name

  • Invoice date

  • Billing period

  • Entity 

  • Department

  • Purchase Order (if required)

If the invoice was uploaded to the wrong matter, you can reassign it.

This section helps confirm the invoice is set up correctly before reviewing charges.


2️⃣ Main Section: Line Item Details

This is the most important part of the review screen.

Here you’ll see:

  • Dates of work

  • Timekeeper names

  • Description of work performed

  • Time spent (Units)

  • Rates

  • Total amount per line

Switching Between Fees & Expenses

Above the table, you can switch between:

  • Fees (time-based work)

  • Expenses (costs like travel, filing fees, etc.)

3️⃣ Left Panel: Workflow, Budget & Flags

This panel helps you understand context.


Invoice Workflow

Shows:

  • Who is currently reviewing the invoice

  • Who reviews next

  • Who is the final approver


Budget Tile

Shows high level budget information for the matter. 

Hover over it to expand for more detail.


Flags Tile

Displays any flag alerts on the invoice.

For example:

  • Timekeeper not approved

  • Billing rule violation

Click a flag to highlight the related line items.

Resourcing, Tasks & Activities

Shows the percentage breakdown of work types on the invoice.

Click an activity or task to highlight related line items in the center table.

This helps you understand what type of work makes up the invoice.


4️⃣ Top-Right: Totals & Actions

This section summarizes the invoice totals:

  • Fees

  • Expenses

  • Taxes

  • Discounts

  • Adjustments

  • Total to pay

This is also where you will:

  • Approve

  • Reject
