Why Was This Invoice Flagged for a New Timekeeper? (PDF Submissions)

  • Timekeeper-related rejections occur only if specific timekeeper flags are enabled in Brightflag.

🔹 Common Reason for This Flag (PDF Invoices Only)

🔍 Timekeeper names must match exactly as they were approved in Brightflag for all invoices submitted by the law firm.

🚨 Discrepancies in spelling, formatting, or abbreviations between the approved Brightflag records and the invoice PDF will cause Brightflag to flag the timekeeper as "new", even if they are already approved.

📌 Example:

  • Approved Name in Brightflag: "John A. Doe"
  • Name on Invoice PDF: "Doe J."
  • Result: Brightflag may flag this as a new timekeeper 

🔹 Solutions

The law firm must re-upload the invoice, ensuring that the timekeeper names match exactly as approved in Brightflag.

If the law firm prefers to use a different name format moving forward, they must:
1️⃣ Update the timekeeper names in Brightflag.
2️⃣ Get approval for these updates before resubmitting invoices.
