Brightflag’s Awaiting Details validation setting allows your organization to require specific invoice information before an invoice can be fully approved.
This is an optional configuration that enforces additional data checks at the final approval stage, beyond Brightflag’s standard invoice validations.
If required information is missing or invalid, the invoice is automatically moved to Awaiting Details and cannot proceed to payment.
What Fields Can Trigger Awaiting Details?
Your organization can configure validation for the following fields:

| Vendor Ref | Missing or contains invalid characters |
| Invoice Amount | Amount entered is invalid or does not match required format |
| Invoice Currency | Missing or incorrect |
| Receipt Number | Not entered when required |
| Invoice PO | PO number missing when required |
| Invoice/Matter Allocation | Allocations are not set or incomplete |
Your organization can choose which of these rules to enforce.
How the Process Works
1️⃣ Invoice Submission
The invoice is submitted and processed as normal.
2️⃣ Final Approval Attempt
When the final reviewer attempts to approve the invoice:
Brightflag checks the configured validation rules.
If required data is missing or invalid, approval is blocked.
The invoice moves to Awaiting Details.
3️⃣ Resolution
Once the required information is corrected:
The invoice can proceed through approval.
It moves forward to Accounts Payable (AP).
Admin Notifications
Admin users receive daily reminder emails listing invoices currently in Awaiting Details, helping prevent payment delays.
